Event Profile
In the summer of 2003, over 3000 members of the global medical community gathered in Vancouver B.C. to discuss critical issues in lung cancer prevention and management. The five-day conference would provide delegates with details of the latest developments in clinical research. The sheer volume of information available necessitated a lengthy scientific program consisting of numerous plenary, concurrent, and satellite sessions and symposia. By the time the final presentation had concluded, over 150 lung cancer specialists had effectively communicated their latest findings to thousands of colleagues from around the world.
Mediaco Solutions
Plenary Session
Mediaco successfully designed and implemented the audio visual production setup for the main plenary sessions in such a way that maintained flexibility for the varying needs of each session while ensuring technical redundancy of presentation sound and optics. Major components of the system included the use of three 15x20 double truss video screens, two Sony D30 broadcast cameras, a seamless graphics switching package, and a full compliment of audio distribution equipment and apparatus.
The two screens installed on the either side of the main stage were used for large graphics projection while the third screen, located center stage, displayed the live video image magnification (IMAG) of each presenter. This screen setup combined with strategically deployed broadcast cameras, ensured that every member of the 2000 plus audience was able to view each presentation with ease - regardless of their position in the room.
Speaker Ready Room
Hundreds of speakers - A very tight program. What would enable each session to stay on schedule? The solution - A speaker ready room. The central hub was located onsite. It facilitated the smooth and timely electronic submission, review, and distribution of each presenter's material thus ensuring availability at the scheduled time and location, while also enabling smooth transitions from one session to the next.
Satellite Symposia
During the conference week over a dozen Satellite Symposia were scheduled off-site at various locations throughout Vancouver. Hosted by internationally recognized pharmaceutical companies, each event demanded particular attention to presentation set-up and design to ensure each unique objective was achieved. Most audio visual production sessions included extensive use of lighting, set design and decor along with elaborate visual optics.
Audio Webcasting
AstraZeneca, the lead sponsor for the conference, approached Mediaco with the interest of webcasting portions of the event. Their desire was to highlight the daily sessions and summarize the presentations of individuals who participated in several key discussions.
The solution was to record each segment onsite in audio format and synchronize them with the presenter's slides. Registered users were sent an email alerting them of the new session archives and a summary of the discussion topics therein. The webcast events proved to be so popular that delegates were accessing the archived content months after the proceedings had concluded.
